Before arrival

Help guests find your cottage when reception drops

Your postcode gets a guest close. The last turn, the right gate and the parking space finish the journey. Send those details while the guest still has a connection.

Updated

Write the last part of the journey

Check the map pin yourself and follow the route from the direction most visitors approach. Note the turning that is easy to miss, a shared drive, a gate that resembles the neighbour's and any parking restriction.

Describe those points in travel order. Photograph the entrance from the road or drive so the guest sees the same view when they arrive. Replace seasonal or temporary landmarks that may disappear.

Fictional stone cottage with a gravel parking area, open timber gate and sage green front door
Willow Cottage is a fictional demo with a generated illustration. For a real guide, photograph your own route and entrance.

A worked arrival description

Fictional example: 'From the village green, follow Mill Lane to the timber gate shown in the arrival photo. Turn into the gravel parking area and use the marked guest space. Walk along the paved path to the green front door. Your private access instructions will arrive in the booking thread before the agreed check-in time.'

Replace the route and parking details with checked information. Keep the description consistent with the photo. Supply a support contact and a fallback for a guest who cannot find the turn.

Send a saved arrival pack before travel

  • Confirmed address and postcode
  • A checked map pin
  • Final approach and parking
  • An entrance photo
  • Check-in time and local time zone
  • The agreed private access-delivery process
  • A contact and backup contact available at arrival
  • A short arrival summary the guest can save or print

A digital guide still needs a connection

WelcomeFlat guides open in a browser. Do not describe them as offline guides. Where reception may be unreliable, provide a saved arrival summary or printed fallback before travel.

A QR code beside the front door can help once a guest is there. It cannot help them choose the right gate on the road. Keep directions and access support available through the communication process agreed for their stay.

Tell the guest what to save

A short message works: 'Reception on the final approach may be limited. Please save the arrival summary and entrance photo before travelling. Check that you have the private access details and the backup contact supplied for your stay.'

Only mention a reception limitation you have verified. If arrival arrangements change after the guest saves a copy, message them directly and confirm they have the current details.

Rural arrival questions

Is a map pin enough?

Check it at your property. Where there are several gates, shared drives or an uncertain final approach, add a short route description and entrance photo.

Does WelcomeFlat work offline?

The browser guide needs a connection. Provide a saved or printed arrival fallback before travel when your property needs one.

Should I publish a door code in the arrival pack?

Keep permanent access secrets out of a broadly shared pack. Use your agreed private or protected process for the confirmed guest.
